We are looking at 500 coins for the trial and an equal number of booklets/passports. Email or PM Rock_Rat. He was also talking about working on those. And we will need a quote fairly soon.
Details:
Passport sized - easily put in pocket, purse or backpack
front and back covers a heavier paper or card stock
1 page per cache = 15 pages
each cache page containing information about the location as well as the coordinates
1 or 2 pages of credits listing all the folks involved in the project
final page with 15 blank lines numbered 1 thru 15 - each line is where they need to write a secret word gotten at each cache location.

500 seems like a lot of coins. How many coins did the Cabell County folks get for their trail? And how many do they have left at this point (after approximately 6 months)? I suspect that the participation here will be similar to their trail.

  • I love deadlines. I especially like the whooshing sound they make when they go flying by.

Most that I have found, ordered 200-400 coins depending on estimated attendees.

The second of the two held in the WV Eastern panhandle ended up ordering 300 and then reordering an additional 200 more.

With the fact that our money will be a one time grant and with the traffic we get through the area due to Interstates 68 & 79, I figured we won't have any problem going through 500 over the course of a year at the most. I honestly think we will see 200-250 given out that weekend alone seeing it coincides with the 10th anniversary of Coopers Rock also.

Just checking to see if we have any more price estimates.

wvhiker222 - can we get a formal estimate on the cost to build all 20 of the outer containers?

WVcountrygurl - same thing for the passports?

SSPG, KWSN & WVhiker222 - what did you think of the email I sent you?

Also, I need some cachers willing to go around and gather some Mon. Co. or Mon. Co. businesses related swag.
Maybe contact the Chamber of Commerce or the Morgantown Main Street Organization. See if we can get swag from local businesses? Just the kind of stuff they give out for marketing purposes?

I'm still mulling it over. But I think KWSN will have the most important input on it.

I have the input from KWSN and am updating the proposal draft.

I still need the latest cost estimates for the outer containers and for the passport printing.

Also, if cachers can start gathering swag from Mon. Co. that would be greatly appreciated.

I am getting close to the time I will be submitting a proposal to Mon. Co. and need that estimate.

For the passport/booklet I am looking at the following:
500 passports, each being 1/4 the size of a regular 8 1/2 sheet of paper

front and back a thicker card stock

front cover - Title + Mon. Co., MAGPI & geocaching.com logos
inside front cover - credits
inside - 15 pages, one page per cache w/coordinates and location information
inside - 1 page w/15 lines for code words obtained from caches
inside back cover - ads?
back cover - more ads?

Waiting on call back from Morgantown Printing and Binding

Have you thought about instead of printing books or passports for the trail just adding a PDF file to each cache page with the info. for that cache that way people can print their own when they are ready to hit that cache. And it eliminates making cachers go to welcome centers or tourist centers or where ever you plan to put the passports between this hour and that hour only these days of the week.

We thought about that but after the kickoff Friday night the place that will have to go to to get a passport is the Hotel Morgan. Another historical location. And there is someone at the front desk 24/7. Also, the folks involved with the hotel like the idea of using it as a starting and ending point.
